Recruitment and Onboarding Assistant – Manchester – Permanent

The Walker Sime Recruitment Team is growing and as a result we are looking for a superstar Recruitment & Onboarding Assistant to work alongside the Talent Acquisition Manager.  General duties and responsibilities

  • Work with the Talent Acquisition Manager to understand the business’s resource requirements (current and pipeline) across all service lines, establishing the best route to market
  • Attend internal recruitment meetings; co-ordinate diaries, arrange meetings, issue invites, take notes, update/issue agendas, participate as and when needed
  • Work with the Talent Acquisition Manager to ensure we have a full recruitment brief and person spec to work with when taking in a new requirement
  • Work with the Talent Acquisition Manager to produce engaging job adverts; posting these adverts on LinkedIn and job boards; monitor applications, inform those who have been unsuccessful and progress those successful to next stage
  • LinkedIn; constantly look to build and maintain your network of relevant candidates, sending engaging direct messages to passive and active individuals
  • Use LinkedIn, the talent pool, CV libraries, the internal referral scheme and PSL agencies to source suitable candidates for current and pipeline opportunities
  • Liaise with agencies both PSL and speculative; provide new requirement briefs, shortlist CVs, provide updates and act as a gate keeper for speculative agencies
  • Conduct initial CV screening calls with potential candidates accessing suitability for Walker Sime
  • Work with the Talent Acquisition Manager to identify and hire the best talent possible
  • Shortlist CVs and discuss suitable candidates with Hiring Managers; providing a comprehensive brief and advise on suitability for immediate/pipeline requirements
  • Liaise with Hiring Managers to provide recruitment updates; face to face, on the phone and via email
  • Recruitment databases; update and maintain all relevant databases such as candidate, interview, and CV trackers
  • Arrange formal/informal interviews – establish attendees, co-ordinate diaries, establish location, format, and issue invites with all relevant information provided
  • Meet and greet candidates on site both for the interviewing process and first day welcomes
  • Provide feedback to candidates/agencies following the interview process
  • Produce and send offer letters; chase any outstanding paperwork; communicate availability to start with the relevant Hiring Manager and TA, agreeing official start dates
  • Compile and issue full contracts and all relevant HR documentation
  • Ownership of the referencing process ensuring all candidates are fully compliant before their first day with Walker Sime; gather referee details (ensure contact details provided conform with internal compliance), issue reference requests, chase outstanding references and update the reference tracker, flag any concerns raised through the formal process
  • Liaise with the Office Manager to ensure all required IT equipment, PPE, and system access is ready for the new starters landing
  • Liaise with the Office Manager to ensure new starter Health and Safety inductions are booked in and completed in a timely manner
  • Liaise with Finance to ensure new starters are set up on payroll correctly and are booked in for any necessary training
  • Take ownership for ensuring we have everything in place for a new joining landing (as detailed above)
  • Conduct candidate check-ins with new starters, those due to start, and talent pool candidates
  • Compile first day plans for new starters; co-ordinate team attendance, arrival time, office location, induction times etc. Ensure this is issued to the new starter in a timely manner and followed up with a phone call to discuss the plan
  • Once confident, carry out inductions for new starters
  • Attend meetings/new starter inductions etc, as and when needed across the 3 Walker Sime office locations (Manchester, Liverpool, Leeds)
  • Update the referral tracker and take responsibility for ensuring finders fee payments are made following successful probation periods; working alongside the finance team
  • Conduct regular candidate check-ins with new starters throughout their first 4 weeks with the business
  • Attend and help co-ordinate internal Walker Sime recruitment events
  • When necessary attend external events and careers fairs etc alongside the Talent Acquisition Manager and Director of People & Culture
  • With direction from the Talent Acquisition Manager help to champion internal recruitment strategies / campaigns
  • Assist in producing internal recruitment updates for the wider business
  • Resolve any issues such as interview cancellations in a timely manner; ensuring all relevant parties are informed
  • Live and breath the Walker Sime values, promoting Walker Sime as an employee of choice within the industry

Experience/Skills Required

  • Permanent / full time
  • Manchester based with travel to other offices as required
  • Confident communicator with individuals at all levels
  • Excellent written and verbal communication skills
  • Ability to work in a fast-paced environment
  • Highly organised and able to juggle many competing tasks
  • Trustworthy and reliable
  • Excellent relationship building skills
  • Ability to think on their feet and problem solve
  • Experience of Microsoft systems such as Outlook, Word and Excel
  • Experience with LinkedIn desirable but not essential
  • A good listener
  • Positive and enthusiastic attitude
